Overview

As the Lead Distribution Team Member, you will own a set of critical tasks and functions as part of the daily execution of warehouse work and training. As a coordinator, you will be responsible for managing workflows across the facility, planning labor, moving resources, interacting with inbound carriers, administrating work in our various systems, and generally managing the daily operation. As a trainer, you will own the training for new and experienced warehouse team members, including PIT training, cross training, efficiency coaching, certification and recertification, etc. In all functions, you will partner with building leadership to plan daily and weekly labor needs, ensure we meet our daily operational goals, evaluate and refine existing training programs, build training for new processes and initiatives, monitor and impact training effectiveness, and participate in continuous improvement initiatives as assigned.

 The position requires a flexible schedule to accommodate production, such as occasionally working extended hours, weekends and holidays as needed.

 

As of the date of this posting, a good faith estimate of the current pay scale for this position is $27.50 to 29.50 per hour. This pay scale takes into account a wide range of business factors and may change over time.

Responsibilities

Coordination:

  • Preparing staffing plans and executing adjustments as needed to ensure operational goals are met daily; escalating to leadership when necessary to avoid overtime.
  • Planning, allocating, and coordinating all activities through Oracle and MES.
  • Manages movement of resources to optimize dock flow.
  • Monitoring order changes/revisions/removals – planning and executing necessary order adjustments in Oracle/MES system including assigning this work for completion.
  • Coordinating with the Business Operations, Manufacturing, Quality Assurance and Maintenance teams as needed for efficient operations.
  • Expediting the release of work to the ASRS staging lanes and loading in stop order.
  • Assignment of emergency replenishment tasks to fulfill priority orders.
  • Printing shipping documents.
  • Coordinating with team to complete pre-load trailer inspections and manage the pre-cooling of trailers according to temperature zone specifications prior to loading.
  • Identifying and resolving any loading issues.
  • Reconciliation to validate the successful fulfillment of orders, both shipped and received.

·       Assists or completes required inventory control functions such as cycle counts and adjustments.

 

  • Tracking the status of inbound purchase orders, scheduling deliveries, distributing daily schedule, and tracking the status of inbound trucks
  • Working with both internal and external parties to gather required information for any overage, shortage, or damaged item that is received; disseminating OS&D information to all stakeholders and tracking resolution. 
  • Ensuring an organized work area is maintained and that all documents, both digital and paper, are easily retrieved including BOLs, OS&D's, and other inbound documentation.

·       Maintaining and providing timely and accurate information for various stakeholders including Business Operations, 3rd party contactors, security and internal leadership. Correctly enters data as required, such as SGV Manager, Plant Application, ASRS, Open Dock, Oracle, MES, etc.

·      Communicate with Quality Assurance frequently regarding sample requirements and GMP audit items.

  • Monitoring and managing receiving email including:
    • Replying to appointment requests.
    • Proactive communication to late appointment/carriers.
    • Communication to planning team when an appointment has not been scheduled in a timely manner.
    • Monitoring Armada communication and providing edits/corrections when necessary.
  • Capable of contributing in all inbound and outbound activities as needed.

 

Training:

·       Develops, refines, delivers and manages all new hire classroom and hands-on training for the distribution team, including new hire progress checks and certification within the first 90 days.

·       Develops, refines, delivers and manages new hire PIT training/certification (classroom and hands-on) as well as recertification for experienced team members in the Warehouse.

·       Develops, refines, delivers and manages cross training for all warehouse roles.

·       Maintains Warehouse Skills Matrix to ensure accurate records of capabilities and versatility for effective operational planning.

·       Identifies and drives best practices to increase the effectiveness of the training program.

·       Partners with Supervisors to identify process opportunities for experienced team members to increase efficiency and accuracy.

·       Partners with Supervisors to roll out and train new processes and initiatives as needed.

·       Recertifies experienced team members on systems, equipment, functions, safety and procedures.

·       Participates in the development and revision of SOP’s and Job Instructions to ensure consistency, efficiency and safety.

·       Ensures all training documents, materials and processes adhere to company SOP’s and policies.

·       Assists in developing, documenting and delivering safety programs and initiatives.

·       Participates in and lends process expertise toward Gemba walks, roota cause analysis and other process improvement/Growing Excellence initiatives as assigned.

·       Capable of contributing in all inbound and outbound activities as needed, including receiving, staging, loading, etc.

Minimum Qualifications

  • 2+ years of distribution operations experience
  • Strong presentation, facilitation, and written/verbal communication  skills
  • Exemplary performance and safety record
  • Certified on pallet rider, counterbalance, and hi-reach preferred
  • Proven record of working independently with little oversight - High degree of initiative and urgency
  • Seamlessly substitute for team supervisor with no change in safety, morale, systems operations or labor costs
  • Exceptional attention to detail and organization
  • Thorough understanding of inbound and outbound operational priorities, dependencies, and processes
  • Ability to build effective relationships at all levels of the organization
  • Comfortable with Microsoft programs to include Word, Excel, Powerpoint, Office, etc.
  • Solutions orientated proactive problem solver

Preferred Qualifications

  • 3+ years of warehouse experience, preferably distribution
  • Experience leading training, facilitating meetings, managing operations, and resolving exceptions.
